How Zenya AI and Microsoft Copilot can reinforce each other: functionalities at a glance

Besides broad AI solutions, such as Microsoft Copilot, there are also specific AI solutions on the market that can improve risk and quality management in your healthcare organisation. In our software, we have added new AI functionalities in some modules or the entire Zenya suite that help healthcare professionals work more efficiently. But what is the difference between the functionalities of Microsoft Copilot and AI in Zenya? In this blog, find out how both AI solutions can reinforce each other.

Current AI functionalities in Zenya

At Zenya, we have added a touch of ‘superpower’ to our software with the arrival of AI. Our AI functionalities are not yet woven into every module, and some features are only available on demand. But they have one thing in common: they are designed to make the work of healthcare professionals easier and faster.

We have currently developed (or are testing) these AI features:

  • Smart search in Zenya - This is the new way to find information. You no longer have to search by keyword, but can ask questions.
  • Enlist the help of our Support Bot Robin - Robin is your new assistant! The bot's answers are based on training articles.
  • Smartly extract findings from audit reports. This feature eases your administrative tasks, such as entering audit findings.
  • Have interactive documents translated by AI - This way, documents can be presented to your colleagues in their own language!
  • Get quick summaries of notifications - This functionality saves time as well as allowing you to better assess the urgency of a notification.
  • Have notifications automatically translated - This allows colleagues to create a notification in Zenya FLOW in their own language.
  • Get risk management suggestions - This AI feature makes suggestions for missing causes, consequences or controls (measures).

Combine Zenya AI and Microsoft Copilot 

Now you might (rightly) be thinking, ‘How is this different from other AI solutions, such as Microsoft Copilot, that my organisation is already using?’. We understand that! And while there is sometimes overlap between the functionalities of Microsoft Copilot and AI in Zenya, that doesn’t mean they replace each other. We list below some examples of how one tool can enhance the other.

Smart search thanks to AI

  • In Zenya, you can do smart searches with Zenya AI Search. It lets you ask questions and quickly extract the right information from documents, report forms and reports.
  • Microsoft Copilot can additionally help by retrieving information from other apps such as SharePoint or Outlook.

Why use together? Healthcare professionals can quickly find information in their quality management system via Zenya and find additional information from, for example, emails (or other Microsoft 365 apps) via Copilot.

Why use together? For example, Copilot can prepare a draft version of a policy document, while Zenya handles distribution and compliance within the organisation.

Smarter document processing and compliance

  • In Zenya, you can automatically translate Interactive documents thanks to a new AI functionality, allowing end users to access the document in their own language.
  • Microsoft Copilot can help improve and summarise these documents.

 

More efficient audits and notifications

  • Zenya AUDIT can automatically extract findings from audit reports. This eases administrative tasks for healthcare professionals.
  • Microsoft Copilot can be used to create additional analyses in Excel or Power BI.

Why use together? In Zenya AUDIT, AI extracts key findings from audit reports. Copilot can then help you translate these findings into an action plan or presentation for management.

 

Why use together? While AI in Zenya FLOW helps care workers summarise patient safety reports, Copilot summarises everything in a clear report for management.

Improved workflow between different platforms

  • In Zenya FLOW, AI can help generate summaries automatically.
  • Microsoft Copilot can then include these in Outlook invitations or analyse trends in Power BI.

Conclusion

So the power of AI does not lie in one solution, but rather you can combine different solutions – depending on the wants and needs within your organisation. Whereas Microsoft Copilot offers broad support within Microsoft 365 apps, AI in Zenya specifically helps with smarter risk and quality management.

By using both tools, healthcare professionals can:

  • Process documents better;
  • Handle audits more efficiently;
  • Optimise workflows.

The right AI tool at the right time ensures more efficient care processes as well as better patient safety. However, it is important that employees are trained in how to use AI (AI literacy).
