How can AI add value to your organisation?

That all sounds promising, but how can organisations ensure AI adds value without posing risks? “At Zenya, we use AI to make information more accessible and to simplify the work of healthcare professionals. However, it remains crucial for people to understand how AI works and where its limitations lie,” Frank explains.

For example, AI Search quickly retrieves relevant documents based on a query—not just a keyword. But that doesn’t guarantee that the first result is always correct. Frank emphasises: “If an employee finds a document on wound care but fails to verify if the protocol applies to their specific department, things can still go wrong. Organisations must remain mindful of this.”

A common question we hear is: ‘Will our information be exposed?’ The short answer: no. “We operate within Microsoft Azure’s secure and trusted environment. All data remains within your organisation and is not used to train AI models.”

AI provides answers within Zenya, but who verifies their accuracy? “That’s why we always display the source of an AI-generated response,” Frank notes. “We encourage users to think critically and verify where the information originates from.” Our perspective is that healthcare organisations must take an active role in training staff and fostering ‘AI literacy.

That’s why it is essential that employees understand how AI works, how to ask the right questions, and how to interpret responses.” When the internet first emerged, similar concerns were raised—was it safe? What if employees accessed incorrect information? Over time, organisations established guidelines and trained staff to use the internet responsibly. Frank states: “We must take the same approach with AI.

Voice-activated incident reporting and Microsoft Teams integration

Every new feature undergoes rigorous testing with customers before broad deployment. “We first enable AI features for a select group of users in a test environment. This iterative process of testing and refining is crucial, as AI in healthcare must function flawlessly,” Frank explains. Furthermore, not all AI functionalities—such as Zenya AI Search—are automatically included in the software, so organisations can choose whether to utilise them.

Frank and his team continuously develop new AI functionalities. “We are currently exploring voice-activated incident reporting. Healthcare professionals don’t always have time to fill out lengthy forms. Imagine the convenience of simply speaking a report, which AI then converts into a structured incident report within Zenya.”

We are also investigating an integration with Microsoft Teams and Microsoft Copilot. “Many organisations use Teams daily. It makes sense to incorporate AI functionalities within that platform. For instance, AI Search could be embedded into Teams, allowing users to ask questions directly within their workflow,” Frank explains.

The role of quality and risk Managers

As a quality and risk manager in healthcare, your role is pivotal — not only in ensuring AI is implemented safely within Zenya but also in guiding employees to use it correctly. “Organisations can either wait for AI to become commonplace or proactively cultivate AI literacy and awareness.”

Ways to promote AI awareness include:

  • Establishing clear guidelines on the correct use of AI;
  • Training employees to critically assess AI-generated responses;
  • Reducing fear of AI by fostering open and honest communication about how AI works and the safety measures in place.
